Executive Assistant - Direction of Americas
Administrative support to the Business Area Head of America’s International and his team of 70.
Support to the Business Manager in specific non-client related areas.

CORE RESPONSIBILITIES

Administrative Support to the Business Area Head
• Organisation and co-ordination of various meetings
• Preparation documentation for staff meetings
• Monitoring manager’s emails, calendar, phone calls in his absence and deal with issues which can be solved straight away
• Maintaining computer (database of clients / correspondence), paper based filing systems and records that facilitate smooth-running process
• Coordinating recruitment process with HR by organizing interview schedule for candidates and requests follow up
• Monitoring of the Welcome process for new joiners, update of team lists and org charts
• Control of absences of Direct reports
• Update and develop the Americas intranet site
• Handle confidential matters and material in a discreet manner.

Administrative support to the team
• Centralization of all travel arrangements
• Organisation of meetings with key customers or suppliers
• Handle office supplies stock

Assisting Business Manager in various tasks related to
• Business planning : planning and preparation of accounts reviews
• Financial planning : preparation of monthly reports : pipeline and cross referral
• Performance measurement: analysis of periodic figures

Compliance
• Maintain awareness and comply with HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.
• Perform responsibilities with integrity and high standards of ethics, complying fully with the Compliance Policy as well as with both the spirit and letter of the law, rules and practices that govern the HSBC Group globally.
Qualifications: Bachelors Degree
Experience: 3 years +
Languages: French : Speak / Write Fluently
English : Speak / Write Fluently
Spanish : Speak Fluently
